When will I know if I was accepted into the project?

Participants usually find out about their participation 4–6 weeks before the project starts, when they receive an invitation email sent to the address they provided during registration.

What funding will be provided for my travel and participation in the project?

Funding depends on the specific project. The exact amount will be stated in the invitation letter.

Is travel insurance mandatory?

Yes, travel insurance is mandatory. It ensures protection in unforeseen situations.

Is travel insurance funded?

In some cases, it can be funded. This depends on the specific project and its budget. It is important that the insurance is purchased for participation in the project and fits within the funding options.

How much time do I have to buy tickets if I am selected to participate?

The ticket purchase deadline will be indicated in the participant’s agreement.

Will the whole team travel together?

Travel arrangements depend on the team’s needs. Participants often plan their trips together, but this is not mandatory.

What should I bring for the trip?

You’ll need personal identification documents, tickets, travel insurance, and a visa if required.

Do I need a visa?

Visa requirements vary by nationality. Participants are responsible for checking and obtaining a visa if needed.

Who is responsible for the visa?

If a visa is required, you must arrange it yourself.

How long does it take to get reimbursed for expenses?

Travel and other necessary expenses are usually reimbursed within 60 days after the project ends (often sooner, but not guaranteed).

Will I receive compensation if I can’t participate due to unforeseen reasons?

No, compensation is not provided unless you can recover the money from the airline. It’s recommended to book tickets directly with airlines and have travel insurance to cover possible cancellations.

What about accommodation?

In some projects, accommodation is arranged by the hosting organization, sometimes by the sending organization. In other cases, participants must choose their own accommodation within the allocated budget.

What about meals?

Meals are often provided. If not, participants receive a meal allowance.

Is there an age limit for participating in projects?

Participants must be at least 18 years old. Youth exchanges are for those aged 13–30. There are no age limits for team leaders.

Can I participate if my English level is low?

Yes, as long as you have basic English skills – enough to communicate and understand essential instructions.

What does the program look like?

The program depends on the project partners. It may be shared in advance or only a few days before the project starts.

How should I prepare for the project?

Each project is unique – follow the instructions provided by your project coordinator.

Who organizes the activities?

Activities are organized by the hosting organization. If you need to prepare a presentation or workshop, you’ll be informed in advance.
