Project Implementation & Quality Management
Type: Erasmus+ Training Course for Project Coordinators, Managers, and Educators
Duration: 5 days (4-6 hours per day)
Location: Vilnius, Lithuania
Target Audience: Project managers, NGO staff, coordinators, administrators, educators involved in EU-funded project implementation, and facilitators
Focus: Structured project implementation, documentation, coordination, quality assurance, evaluation, and reporting in alignment with Erasmus+ standards.
Course Objectives
Equip participants with practical tools for effective Erasmus+ project management post-approval.
Develop efficient systems for project documentation and communication.
Ensure high-quality implementation and seamless partner coordination.
Implement effective evaluation, dissemination, and reporting strategies.
Support participants in aligning projects with both organizational goals and EU standards.
Course Structure
Day 1 – Strategic Foundations & Start-Up Essentials (4-6 hours)
Topics:
Aligning projects with organizational strategy and Erasmus+ priorities
Initial steps after project approval: what, when, and who
Centralized document management using Google Drive
Activities:
Workshop: Align your project with your organization’s goals
Hands-on Setup: Google Drive folder creation
Drafting a Project Concept Note
Tools Used:
Google Drive
Canva (for presentations)
Padlet (project vision board)
Day 2 – Effective Project Preparation & Communication (4-6 hours)
Topics:
Creating partner presentations and logos
Building structured communication: WhatsApp, email, online meetings
Stakeholder identification and contact list management
Activities:
Design a simple project presentation and stakeholder map
Practice creating an internal partner communication strategy
Build a shared partner contact list
Tools Used:
Canva (for presentations)
Google Sheets (contact lists, stakeholder mapping)
WhatsApp (polls)
Day 3 – Templates, Tools & Task Management (4-6 hours)
Topics:
Core project templates: risk management plan, dissemination plan, timesheets, evaluation forms
Tracking partner responsibilities and progress
Dissemination and documentation requirements
Activities:
Complete project templates (risk, dissemination, etc.)
Role-play: Partner meeting to assign and review responsibilities
Design a Gantt chart with project deadlines and outputs

Asana (task tracking)
Google Docs/Templates
Canva (visual timelines)
Day 4 – Evaluation, Monitoring & Quality Assurance (4-6 hours)
Topics:
Evaluation at different project phases
Designing and using evaluation forms
Ensuring quality in international and local activities
Activities:
Create an evaluation form using Google Forms
Analyze sample evaluation reports
Draft a Quality Assurance Plan for your project
Tools Used:
Google Forms (for evaluation)
NotebookLM (organize evaluation data)
ChatGPT (support with report drafting)
Day 5 – Documentation, Dissemination & Final Reporting (4-6 hours)
Topics:
Final documentation: checklists and compliance
Disseminating outputs (SALTO, EPALE, websites)
Final activity reports, minutes, and photo documentation
Activities:
Prepare a documentation checklist per activity
Simulate uploading to SALTO/EPALE or creating a dissemination report
Group presentations: project flow walkthrough and lessons learned
Outputs:
Folder setup plan and documentation tracker
Dissemination and evaluation templates
Individual action plan for current/future project management

Canva (for newsletters/reports)
