International Project Writing


Type: Erasmus+ Training Course for Adult Educators / Project Coordinators 

Duration: 5 days (4-6 hours per day) 

Location: Vilnius, Lithuania

Target Audience: Teachers, NGO staff, school leaders, adult education professionals, youth workers, cultural sector representatives 

Focus: Writing, planning, and managing international projects, with a special focus on Erasmus+ (KA1 and KA2) programmes



Course Objectives

  • Understand the Erasmus+ programme structure, key actions, and priorities.

  • Learn step-by-step how to design strong and impactful international project applications.

  • Gain practical tools for effective coordination, budgeting, and communication.

  • Build strategies for monitoring, evaluation, risk management, and dissemination.

  • Strengthen skills in international partnership building and network development.



Course Structure

Day 1 – From Vision to Concept: Understanding Erasmus+ Opportunities (4-6 hours)

  • Topics:

    • Overview of Erasmus+ programme and 2021–2027 priorities

    • Understanding KA1, KA2 action types

    • Matching your organisation’s needs with EU funding opportunities

  • Activities:

    • Presentation: Erasmus+ structure, priorities, and terminology

    • Guided navigation through the Erasmus+ Programme Guide

    • Group brainstorming: Transforming local challenges into project ideas

    • Project Canvas session: Define the problem and/or need and convert it into a potential project idea

  • Tools Used:

    • Padlet – idea mapping

    • Canva – visualizing project concepts

    • Erasmus+ Guide (printed or digital version)



Day 2 – Project Matrix: From Idea to Structure (4-6 hours)

  • Topics:

    • Logical framework approach: main aim, objectives, activities, results, impact

    • Structuring your application: target groups, objectives, outputs, and methods

    • Writing strong, measurable, and clear content

  • Activities:

    • Writing lab: Develop your project matrix (goals, activities, outcomes, impact)

    • Peer review & feedback session on draft matrices

    • Common mistakes to avoid in proposals

  • Tools Used:

    • Shared Google Docs – collaborative drafting

    • Erasmus+ application form template & checklist

    • ChatGPT – support for structure, refinement, and example wording



Day 3 – Partnership Building & Project Design (4-6 hours)

  • Topics:

    • Identifying and selecting quality partners

    • Roles, responsibilities, and internal communication planning

    • Erasmus+ budgeting basics (lump sums, travel, individual support, etc.)

    • Reading and analyzing examples of successful projects

  • Activities:

    • Partner mapping & alignment exercise: where and how to find partners

    • Defining roles and responsibilities using Work Packages

    • Budget drafting simulation and Gantt chart planning

  • Tools Used:

    • Google Sheets – budget templates

    • Canva – Gantt chart and timeline visuals

    • NotebookLM – organising notes and documentation



Day 4 – Project Implementation & Management (4-6 hours)

  • Topics:

    • Managing international partnerships and deliverables

    • Budget tracking and financial reporting

    • Risk identification and mitigation strategies

    • Tools for collaboration, monitoring, and documentation

  • Activities:

    • Case study: Troubleshooting a project gone wrong

    • Risk management simulation in groups

    • Setting up a collaborative workspace (Asana / Google Drive)

    • Drafting a basic evaluation and quality assurance plan

  • Tools Used:

    • Trello or Asana – project management

    • ChatGPT – support with drafting evaluation forms

    • Google Forms – feedback and survey design



Day 5 – Dissemination, Sustainability & Final Presentations (4-6 hours)

  • Topics:

    • Effective dissemination and visibility strategies

    • Ensuring sustainability and long-term value of results

    • What makes a project stand out in evaluation

  • Activities:

    • Create a dissemination and visibility plan

    • Group presentations of project concepts (pitch-style)

    • Final feedback, wrap-up, and action planning for submission

  • Outputs:

    • Complete draft of project concept

    • Dissemination plan template

    • Individual action plan for project development and application
